All requests for cancellation and refund must be submitted in writing via email to the CGCM 2026 Conference Secretariat. Telephone requests will not be accepted.
Registration Cancellation and Refund
- Cancellation requests received on or before June 30, 2026 will receive a 70% refund of the paid registration fee after deduction of administrative charges, bank transfer fees, and credit card processing fees.
- Cancellation requests received between July 1, 2026 and July 15, 2026 will receive a 50% refund of the paid registration fee after deduction of applicable administrative and banking charges.
- No refunds will be granted for cancellation requests received after July 15, 2026, including no-shows, incomplete attendance, late arrivals, early departures, or failure to attend the conference for any reason.
Refund Processing
- All approved refunds will be processed after the conclusion of the conference.
- Refunds paid by credit card will be returned to the original payment account.
- Depending on the participant’s bank and credit card company, the refund process may require approximately 2–4 weeks or 1–2 billing cycles to appear in the participant’s account.
- Any bank service charges, transaction fees, currency exchange differences, or intermediary banking fees incurred during the refund process shall be borne by the participant.
Visa, Entry Permit, and Travel Restrictions
Participants are responsible for obtaining all necessary visas, travel documents, and entry permits required for travel to Taiwan.
The conference organizers may provide supporting documents such as:
- Official invitation letters
- Proof of registration
- Abstract acceptance letters
However, the conference organizers cannot guarantee:
- Visa approval
- Entry permission
- Immigration clearance
- Travel authorization by any governmental authority
Abstract submission, abstract acceptance, issuance of invitation letters, or completion of registration does not guarantee approval of a visa or entry permit.
In the event that a participant is unable to attend due to visa denial, immigration restrictions, governmental regulations, transportation disruption, personal medical conditions, force majeure events, or other circumstances beyond the control of the conference organizers, the standard refund policy stated above will still apply.
Conference Cancellation or Modification
The CGCM 2026 organizing committee reserves the right to modify the conference format, schedule, venue, program content, or related activities if necessary due to unforeseen circumstances, public health concerns, natural disasters, governmental regulations, or other force majeure events.
If the conference must be cancelled entirely, the organizing committee will determine and announce the refund arrangement accordingly. The organizers shall not be responsible for any additional personal expenses incurred by participants, including but not limited to airfare, accommodation, visa fees, insurance, or other travel-related costs.
